Terms of Use
Last updated 19 October 2026
These terms set out the rules for using this website.
1. Introduction and acceptance
These Terms of Use ("Terms") govern your access to and use of the Easy System website at easysystem.app (the "Website"). Please read them carefully before using the Website.
By accessing or using the Website, you confirm that you have read, understood and agree to be bound by these Terms and by our Privacy Policy. If you do not agree, you must stop using the Website.
2. Definitions
- "we", "us" and "our" mean Datum Digital Systems Limited, which operates Easy System.
- "you" means the person accessing or using the Website, and, where you do so on behalf of an organisation, that organisation.
- "Content" means all text, graphics, logos, images, code, designs, data and other material on the Website.
- "Products" means the software products and services we offer, such as OHSE.app, whether or not they are described on the Website.
3. About us
The Website is operated by Datum Digital Systems Limited, a company registered in England and Wales. Our full company details are at the end of this page. You can contact us through the contact form.
4. Products and separate terms
The Website provides information about us and our Products. It is not itself a Product, and nothing on it forms an offer capable of acceptance. When you sign up to or use a Product, separate terms apply to that Product. For OHSE.app, see the OHSE.app terms and conditions. If those terms conflict with these Terms in relation to the Product, the Product terms apply to the Product.
5. Access to the Website
We provide the Website free of charge for your general information. We may change, suspend, restrict or withdraw all or part of the Website at any time, without notice and without liability to you. We do not guarantee that the Website will always be available, uninterrupted or free from faults. You are responsible for the equipment and internet connection you need to access it, and for making sure everyone who uses it through your connection knows and follows these Terms.
6. Acceptable use
You may use the Website only for lawful purposes and in line with these Terms. You must not:
- use the Website in any way that breaches any applicable law or regulation, or that is unlawful, fraudulent or harmful;
- attempt to gain unauthorised access to the Website, the server it runs on, or any connected system, database or network;
- introduce any virus, malware, logic bomb or other harmful or technologically damaging material;
- attack the Website through denial-of-service or distributed denial-of-service attacks, or otherwise interfere with or disrupt its operation or other people's use of it;
- use automated tools such as robots, scrapers or crawlers to extract Content or data from the Website in bulk, other than through ordinary search engine indexing;
- probe, scan or test the vulnerability of the Website or breach its security or authentication measures without our written permission;
- impersonate any person or organisation, or misrepresent your relationship with us; or
- use the Website to send unsolicited or unauthorised advertising or promotional material, or any other form of spam.
We may report any breach of this section to the relevant authorities, and may disclose your identity to them.
7. Intellectual property
We own, or are licensed to use, all intellectual property rights in the Website and the Content, including copyright, trade marks, database rights, design rights and rights in software code. Those rights are protected by law and all rights are reserved.
You may view the Website, and print or download a single copy of pages for your own personal or internal business use, provided you keep all copyright and other notices intact. You may share links to the Website. You must not otherwise copy, reproduce, modify, distribute, republish, display, transmit, sell, license or create derivative works from any Content, or use any Content for commercial purposes, without our prior written permission.
"Easy System", "OHSE.app" and our logos are names and marks we use. Nothing on the Website gives you any licence or right to use them, and you must not use them without our written permission.
8. Messages you send us
If you send us a message, you confirm that the information you give is accurate and that you have the right to send it. We handle personal data in your message as described in our Privacy Policy. Please do not send us confidential, sensitive or secret information through the contact form unless we have agreed this with you. Unless we have agreed otherwise in writing, we may use any ideas or feedback you send us without payment or restriction.
9. Links and third-party content
The Website may contain links to websites and services operated by others, such as ohse.app. We do not control and are not responsible for their content, availability or privacy practices, and a link does not mean we endorse them. You use third-party websites at your own risk and under their terms.
10. No professional advice
The information on the Website is for general information only. It is not, and must not be treated as, legal, financial, health and safety, engineering or other professional advice. You should take appropriate professional advice before acting, or not acting, on anything you read here. Our Products are tools to help you capture and organise information, and you remain responsible for complying with your own legal duties.
11. Accuracy of information
We try to keep the Website accurate and up to date, but we make no promise, representation or warranty, express or implied, that the Content is accurate, complete or current. We may change it at any time without notice, and we are not obliged to update it.
12. Viruses and security
We do not guarantee that the Website is secure or free from bugs or viruses. You are responsible for configuring your own technology and computer programmes to access the Website, and you should use your own virus protection software. To the extent the law allows, we are not liable for any loss or damage caused by a distributed denial-of-service attack, virus or other harmful material that may infect your equipment, programs, data or other material because of your use of the Website or because you downloaded anything from it or from a website linked to it.
13. Disclaimer of warranties
To the fullest extent permitted by law, the Website and the Content are provided "as is" and "as available", and we exclude all conditions, warranties, representations and other terms that might otherwise apply to them, whether express or implied by statute, common law or otherwise, including any implied terms of satisfactory quality, fitness for purpose and non-infringement.
14. Limitation of liability
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited by law.
Subject to that, and to the fullest extent permitted by law:
- we are not liable, whether in contract, tort (including negligence), breach of statutory duty or otherwise, for any loss or damage arising out of or in connection with your use of, or inability to use, the Website, or your reliance on its Content;
- we are not liable for any loss of profit, sales, business, revenue, contracts, anticipated savings, goodwill or data, or for any indirect or consequential loss; and
- our total liability to you arising out of or in connection with the Website, however it arises, will not exceed £100.
If you are a consumer, nothing in these Terms affects your statutory rights.
15. Your responsibility
You are responsible for any loss or damage we suffer because you breach these Terms, including reasonable legal costs, to the extent the law allows.
16. Suspension and ending access
If you breach these Terms, we may immediately or without notice stop you using the Website, for example by blocking your access, and take any other action we consider appropriate to protect the Website, our rights and other people.
17. Changes to these Terms and the Website
We may revise these Terms at any time by updating this page. The date at the top shows when they were last changed. The Terms in force when you use the Website apply to that use, so please check this page from time to time. We may also change or discontinue the Website, or any part of it, at any time.
18. Notices
We will give you notices on this Website or, where appropriate, by reply to your message. To give us a notice, use the contact form.
19. General
- Entire agreement: these Terms, together with our Privacy Policy, are the whole agreement between you and us about the Website and replace any earlier discussions about it.
- Severability: if any part of these Terms is found to be invalid or unenforceable, the rest continues to apply.
- No waiver: if we do not enforce a right straight away, that does not mean we have given it up.
- Assignment: we may transfer our rights and obligations under these Terms to another organisation. You may not transfer yours without our written consent.
- Third parties: no one other than you and us has any right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.
20. Governing law and jurisdiction
These Terms, and any dispute or claim arising out of or in connection with them or the Website (including non-contractual disputes or claims), are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that if you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in the courts there.
